Business Commerce
For registered legal entities and sole traders, the merchant remains the seller of record for its goods and services. Kordiva's payment role does not make it the product seller in this model.
Your business approves eligible customer refunds under its policies and applicable law. Kordiva initiates the payment-side refund through Stripe. Refunded amounts can reduce your balance, reserve or future eligible payouts; the customer’s bank determines when the refund appears. A refund does not guarantee that every original fee is returned.
Kordiva receives payment-side disputes and requests your order, delivery and customer-communication evidence. Disputed funds and applicable processor or network fees can be held or recovered from Business proceeds. The confirmed outcome determines the final adjustment.
Business payouts follow verification, settlement, order fulfilment and transaction-specific hold checks. Available funds, payouts in transit and Stripe-confirmed paid payouts are shown separately in Payments/Payouts. Bank arrival is separate from eligibility; the Individual 1st and 15th schedule does not apply to Business Commerce.
Business payout and reserve rulesIndividual Merchant of Record
For eligible NATURAL_PERSON digital transactions, Kordiva LLC is Merchant of Record to the buyer. The customer pays Kordiva; the approved Individual supplies the digital content or service and receives eligible proceeds through the controlled payout flow.
Kordiva reviews Individual refund requests and manages full refunds and chargebacks. Automatic LIVE partial refunds are unavailable. Intended reserves range from 0% to 15%, according to the reviewed policy; eligible payouts follow the 1st and 15th UTC cycles. Planned buyer markets require separate approval and activation.

Payouts, holding funds, and fees
- For ordinary foreign or unknown-card orders, the base hold is 14 days from first shipment for physical goods, or 7 days from payment for digital-only and deposit orders. Eligible established merchants can have shorter 7-day and 3-day base windows. Confirmed MK-card payments have no ordinary time hold, but still require the shipment or payment milestone, settlement and release checks. Longer existing holds, manual reviews, reserves and risk controls can still apply. These are eligibility windows, not guaranteed bank-arrival dates.
- Business payouts follow verification, settlement, order fulfilment and transaction-specific hold checks. Available funds, payouts in transit and Stripe-confirmed paid payouts are shown separately in Payments/Payouts. Bank arrival is separate from eligibility; the Individual 1st and 15th schedule does not apply to Business Commerce.
- Card country is recorded as settlement evidence but a foreign card does not add payout-delay days by itself.
- Big-ticket physical orders (≥ €500 EUR equivalent): +30 days on top of the applicable base hold.
- Stripe elevated risk with successful 3DS can require a 120-day hold; elevated risk without successful 3DS goes to manual review.
- Stripe highest risk is blocked from payout; not-assessed risk goes to manual review.
- Before release, Kordiva re-checks settlement evidence, payout state, disputes/refunds and other payout safety conditions.
- Refunds and disputes can reverse, reduce, block or hold payout amounts.
- Platform and processing fees depend on plan and payment rail.
Example: a normal physical order uses first shipped +14 days; a digital-only or deposit order uses paidAt +7 days, subject to risk and payout safety checks.
Merchant role vs Store role
Merchant responsibilities
- Maintain accurate legal and tax information.
- Publish clear delivery and refund policy.
- Ship orders on time and keep fulfillment proof.
- Respond quickly to customer claims and dispute requests.
Store responsibilities
- Store settings define products, prices, taxes, and checkout configuration.
- Order lifecycle (paid, shipped, delivered, refunded) drives payment and payout events.
- Compliance status can block go-live until all mandatory data is complete.
How refunds are handled
- 1. The merchant approves an eligible paid order for a full refund; Kordiva initiates it through Stripe.
- 2. Customer receives refund to original payment method.
- 3. Related transfer amounts can be reversed from payout flow.
The Business Orders interface supports a full-order refund, with no arbitrary partial-amount selector. Where a delivery date is recorded, the interface applies a 14-day refund window from delivery. This software limit does not replace customer rights; contact support for cases requiring further review. Unpaid, already-refunded or restricted orders may not be refundable through the interface.
How chargebacks/disputes are handled
- 1. Dispute event is received from payment processor.
- 2. Funds can be held/reversed while dispute is open.
- 3. Merchant submits evidence through processor channels.
- 4. Final outcome determines release or permanent deduction.
- 5. Actual processor or network dispute fees attributable to the Business transaction can be recovered from merchant proceeds under the applicable policy. Check the recorded charge rather than assuming a fixed fee for every dispute.
Simple FAQ
When do I receive payout?
After the applicable shipment or payment milestone and all settlement, hold and release checks.
Who is responsible for refunds?
Merchant is responsible for policy clarity and refund operations.
Is there a chargeback fee?
Applicable processor or network dispute fees can be recovered from Business proceeds according to the transaction’s recorded charges and the Business terms. They are separate from your platform subscription.
Is the order PDF invoice a fiscal e-invoice?
No. The PDF auto-generated for every paid order is a commercial invoice. The official UJP e-Invoice system/API is still in test/pilot phase, so Kordiva does not currently submit live production UJP e-Invoices. Production integration will be activated only after UJP officially makes production access available.
How fast does a customer get a refund?
Typically 5–10 business days after you approve it in the dashboard, up to 14 depending on the customer's bank. If your available balance is short, Kordiva pays the refund from your reserve so the customer is not delayed; the amount is deducted from your next payout.
